The process of how you can manage your time effectively and strategy involved is focused on the most efficient use of your time. In this article, we will try to identify which methods and skills that not only increase efficiency, but also contribute to the development of a particular type of thinking without stress.

Today, it is very easy to overload yourself with information, communication, and tasks. Often, all of this simply overwhelms us and leaves only a feeling of depression as it is physically impossible to cope with multiple tasks at once. Such cases lead to chronic stress and fatigue. All the salt of success lies in easy but very effective time management methods.

What is Time Management?

Time management is arguably one of the most difficult things to grasp, seeing that time is an invisible yet crucial part of living and it can slip through without you knowing.

According to Wikipedia, this is a technology to increase the efficiency of organizing and using time.

Learning a new skill or strategy is a process that needs to be carefully considered. At first you will be uncomfortable: it should not be scary, because the practice of something new always takes a lot of effort and time before the habit takes root in everyday life.

In this section, i will be sharing with you 6 principles of time management you can follow. Understanding the basic rules of time management will make it significantly easier for you to begin the path of mastering this science

1. Keep track of your time

The only way to improve your time management skills is to learn and understand your current time management habits. For example, every 15 minutes you can write in a notebook what you are doing now. In a week, you will have a clear understanding of where you are spending your time effectively and where you are wasting it. After analyzing the data received, determine how productivity can be increased.

Don’t even try new strategies until you are successful at this stage.

2. Identify important goals

Once you’ve identified your time management habits, you’re ready for the next step – identifying and analyzing specific goals. They should be:

• Clear (in terms of the end result);
• Measurable (sometimes it is difficult to determine how to assess the fact of achieving a goal);
• Can be Achieved (realistic assessment of their material and intangible resources);
• Realistic (in terms of the time period planned to achieve goals);
time limit (clear definition of deadlines for achieving goals).

3. Make a plan for the next steps

Once you have set your goals, set your next plan. Draw on paper a general scheme of actions that will lead you to your desired goals. Then divide them into specific tasks with specific deadlines. After that, create a list of daily tasks. It should have a maximum of six archive tasks to complete.

It is very important to spend more time on important tasks rather than on urgent ones. It’s hard to fall into a regular trap, focusing on priorities.

4. Divide tasks into parts

By grouping tasks into similar categories, you will be more efficient and effective in managing your time. For example, you can set aside a specific time of day to work with the phone calls or emails you need. When the time allotted for a particular task is over, you only need to move on to the next item in the plan (even if you are unable to make all the necessary calls or send scheduled letters). You can divide the tasks into:

• Stationary (those that perform on the desktop);
dynamic (those that do not require being in the office).

5. Specify a specific time interval to complete tasks

When setting tasks, immediately determine how long it will take to complete them. Without clear deadlines, you will spend a lot of time on other labor-intensive tasks. That’s why it’s so important that every item on your list is real and achievable.

Try to perform a certain action to the maximum within the allotted time, and when the time is up, perform a new task immediately. Don’t let perfection lead you to success!

6. Follow the Pareto principle

Pareto’s law, or the 80/20 rule, says that 80 percent of your efforts will yield 20 percent of the results. And vice versa: 20% of actions are 80% results. Knowing this secret is one of the most important tasks for future success – try to set priorities at the end of the day, month or year.

Focus on doing these tasks first, then move on to doing 80 percent of the actions that bring only 20 percent of the results.

You need to prepare in advance for contingencies by presenting an alternative plan. Such a buffer makes it much easier to deal with unexpected situations during the day.

Set aside a certain amount of time for force majeure situations, then continue to perform the planned tasks – priorities. Think big, focusing on more promising things.

While flexibility in planning and routine is important, when it comes to specific tasks and actions, the main thing is that time constraints do not change. Such consistency in time management solves many time management problems.

4. Organize your work environment properly

This is another best way to manage your time effectively. Do you lose precious minutes every day while searching for documents? If so, there is an easy way to stop wasting time. You just need to organize your papers / folders so that you can easily and quickly find everything you need at any time.

Pay attention to the computer and email system. If a lot of time is spent searching for the right character, folder, or file, it means that the data storage organization system also needs to be improved. In fact, it is very easy to create the perfect layout in the workplace. It’s much harder to keep it constant. The easiest way is to put things in their place or sort them as soon as you receive the letters.

When you leave at least one sheet of paper in an unintended place, you lose control of the situation.

6. Identify bad habit

My mentor would always say that, Time is the unit of destiny.. If you waste your time, a portion of your productivity will be gone as well. If you meet a dying person, his demand will not be prosperity, his demand will be time, because almost anything can be achieved with time.
